How Pricing Works

Two Components. Both Explained Upfront.

Every project has a clear setup cost and an optional ongoing management fee. Both are detailed in your proposal before any work begins.

One-Off Setup Fee

Covers the full build — discovery, business audit, AI configuration, knowledge base training, tool integrations, testing, and handover. 50% is invoiced when the service agreement is signed, and the remaining 50% once you approve the completed system. The fee depends on your project scope — a cloud-based setup for a single workflow costs less than a full private deployment with dedicated hardware.

Ongoing Management (Optional)

Not just maintenance — a managed AI capability that improves over time. Not mandatory — some clients prefer a one-off build with training and handover. Others want ongoing management for continuous improvement. Both options are available and explained in your proposal.

  • Knowledge base maintenance as your business evolves
  • Prompt refinement, model upgrades, and new capabilities
  • Compliance monitoring and security updates
  • Performance monitoring and priority support

What would it cost without a custom AI assistant?

$55,000+/year

Plus superannuation, annual leave, sick leave, training, and management overhead. Limited to business hours.

A Fraction of Both

No ballpark figures on a website. Every business is different, and I quote accordingly. Book a discovery call and I'll scope your project properly.

Delivery Options

Three Ways to Get Your AI Assistant

Every build is tailored to how you want to run your AI. I recommend the right option during the discovery session.

Dedicated Hardware

I source and configure a dedicated machine built specifically for your AI. Everything is installed, tested, and shipped to your office ready to plug in. Your AI runs entirely on your own equipment — nothing leaves your building. Full Australian Privacy Act compliance, with data that never touches an external network. Ideal for regulated industries, legal practices, and businesses handling sensitive client information.

Premium

Cloud Server

Your AI assistant runs on a private cloud server hosted in Australian data centres, set up and managed remotely. Enterprise-grade encryption, data protected under Australian law. No hardware to maintain, accessible from anywhere, and scales as your needs grow. I handle all configuration, deployment, and ongoing server management. Hosting cost is included in the management fee.

Most Popular

File Delivery

I build the complete package locally, then deliver everything via secure file transfer. You install it on your own computer or server using the step-by-step guide and starter prompts I provide. Complete control with no external connections — ideal for air-gapped or regulated environments. The most cost-effective option for tech-comfortable clients. Self-managed after handover, with support packages available.

What Shapes Your Quote

Every Quote Reflects What You Actually Need

No two businesses need the same thing. Here are the factors I consider when putting your proposal together.

Scope and Complexity

How many workflows, how many tools, how deep the integration. A single-purpose assistant costs less than a multi-department system.

Delivery Method

Hardware, cloud, or file delivery each carry different costs. Dedicated hardware includes sourcing and configuration. Cloud includes hosting. File delivery is the leanest option.

Knowledge Base Size

The volume of documents, processes, and business context your AI needs to learn. More material means more training and structuring time.

Tool Integrations

Connecting to calendars, CRMs, email, accounting software, or other platforms. Each integration adds configuration and testing time.

Training and Handover

A standard walkthrough for one person costs less than extended training sessions for a whole team. Your needs are discussed during discovery.

Ongoing Management

Whether you want monthly management or a one-off build. Ongoing management keeps your AI updated and improving. One-off builds are handed over with full documentation.

All of this is discussed during the discovery call and detailed in your proposal. No guesswork, no surprises.

Common Questions

Pricing Questions Answered

It depends on scope. A cloud-based assistant configured for a single workflow costs less than a full private deployment with dedicated hardware and multiple integrations. Book a discovery call and I'll give you an accurate quote based on what you actually need.
Yes. A one-off setup fee covers the entire build — discovery, AI configuration, knowledge base training, integrations, testing, and handover. 50% is invoiced when the service agreement is signed, and the remaining 50% once you approve the completed system.
No. Management is optional. Some clients prefer a one-off build with training and handover — they manage the system themselves. Others want monthly management for ongoing updates, improvements, and support. Both options are available and discussed during discovery.
Knowledge base updates, model upgrades, new capabilities within your existing scope, performance monitoring, and priority support. New integrations or major scope changes are quoted separately as a new project.
Because every project is different. A solicitor who needs document review AI has different requirements to a trades business that needs quoting automation. Posting a generic price would either undersell the simple builds or scare off the complex ones. A discovery call takes 15 minutes and you get a proper quote.
Hardware cost depends on the specifications required for your use case. It's included in the setup fee and itemised in the proposal. I source the hardware, configure everything, test it end-to-end, and ship it ready to go.
Yes. Migration is treated as a separate project — scoped, quoted, and built the same way. Your AI assistant, knowledge base, and configurations carry over. No rebuilding from scratch.
Yes. Thirty days written notice, no exit fees. Your AI assistant, knowledge base, and all configurations remain yours. Everything is documented so you can continue independently or bring in someone else.
A full-time admin costs $55,000+ per year before super, leave, and training. An in-house AI engineer starts at $150,000+. A custom AI assistant is a fraction of both — and it works 24/7 without sick days, holidays, or overtime. The discovery call will give you exact numbers for your situation.
Knowledge base updates as your business changes, new capabilities within your existing scope, prompt refinement for better accuracy, technical maintenance and model upgrades, compliance monitoring, and priority support. Major scope expansions or new integrations are quoted separately.
Add new workflows, expand to more team members, or upgrade your deployment method — all managed through the retainer or quoted as a new project depending on scope. Most clients start with one workflow, prove the ROI, then expand. The system is built to grow with you.
